Handling of personal information
Andon Ryokan Limited (“Andon” below) recognizes the importance of information that can be used to identify individual users of the website operated by Andon (“personal information” below) and therefore handles said information with care. On the Andon website, you may be asked to input or send personal information so that we may provide you with services that you find beneficial. Information that you entrust to us via the Andon website will be managed strictly. Note that the content stated on this page constitutes our basic policy on the handling of personal information on the Andon website.
Cases where you are asked to provide personal information
On the Andon website, you are asked to register personal information needed for the arrangement of services in cases involving the following.
1.Reservations for stay.
2.Requests for various materials.
3.Other. (In cases where you are asked to entrust your personal information to us for services other than the above, we will clearly indicate the pertinent purpose, content and handling of that information.)
Purposes of using personal information
Personal information entrusted to Andon by you will be used on the Andon website solely in the following cases, and will not be used for any purpose other than those for which you provided that information. 1.Cases involving the various arrangements that constitute the main purposes of the request form, such as the preparation of reservations, the sending of materials and replies to inquiries. 2.Causes where the need arises for Andon to contact you for some reason. 3.Cases in which you agree to the provision of your personal information for another purpose. 4.Sending of email magazine. Should you permit the delivery of news over email on the request form, Andon will provide you with information such as that on events, overnight plans, etc. by our hotel or an affiliate thereof. You may modify your registered information or stop the delivery of news on your own at any time.
Scope of gathering of personal information
Out of the personal information entrusted to Andon by you, the minimum information required for the provision of services shall be required information. The provision of any other information will not be a condition for the provision of services. (For minimum necessary information entrusted to Andon by you, pertinent items will be clearly indicated as such, using marks or other means.)
Storage of personal information
Personal information entrusted to Andon by you will be stored solely as a record of the provision of services requested by you, and will be deleted after a certain amount of time has passed.
Management of personal information
The database of personal information belonging to you and other customers is managed by a managerial supervisor within Andon.
Provision and disclosure of personal information
Personal information entrusted to Andon by you will be handled with care, and will not be provided or disclosed to a third party barring the following cases. 1.When you agree to the disclosure of your information. 2.When Andon is requested to officially verify said information in accordance with laws or ordinances from the police, a court or another public institution. 3.When you, Andon or a third party have another serious or emergency need for disclosure.
Use of statistical information
In cases where Andon performs analysis in order to improve its website or products/services as well, said analysis will solely consist of the statistical processing of information and will not be used in any way to identify you as an individual.
Security measures
For the security of personal information, rational security measures from the dual aspects of administration/operation and the system have been taken in order to prevent illegal access to information; its loss, destruction, tampering or leakage; and so forth. On the Andon website, “cookies” are not used to gather information on you. Note that records (logs) of your access to Andon are gathered as a means of information-gathering conducted on the Andon website. However, said records (logs) are solely used for statistics on operation of the website or for causal investigations on illegal access, etc.

Terms and Conditions for Accommodations
Article 1 (Scope of Application)

Accommodation contracts and related agreements concluded between this ryokan and guests shall be governed by these Terms and Conditions. Matters not stipulated herein shall be governed by applicable laws and regulations (meaning laws or ordinances and those based thereon; the same shall apply hereinafter) or generally established customs.

In cases where this ryokan agrees to special provisions that do not conflict with laws, regulations, or customs, such special provisions shall take precedence over these Terms and Conditions.
Article 2 (Application for Accommodation Contract)

A person intending to apply for an accommodation contract with this ryokan shall provide the following information to the ryokan:
(1) Name, address, telephone number, and gender of the guest(s)
(2) Date(s) of stay and estimated time of arrival
(3) Accommodation charges (in principle, based on the basic accommodation fee)
(4) Other matters deemed necessary by the ryokan -
If a guest requests to extend their stay beyond the accommodation date specified in item (2) of the preceding paragraph during their stay, the ryokan shall treat such request as a new application for an accommodation contract at the time the request is made.
Article 3 (Formation of Accommodation Contract, etc.)

The accommodation contract shall be deemed concluded when the ryokan accepts the application set forth in the preceding article.

When the accommodation contract has been concluded pursuant to the preceding paragraph, the ryokan may request payment of a deposit up to the amount of the accommodation charges for the entire period of stay.
Article 4 (Refusal to Conclude Accommodation Contract)
The ryokan may refuse to conclude an accommodation contract in the following cases:
(1) When the application for accommodation does not conform to these Terms and Conditions.
(2) When there are no rooms available due to full occupancy.
(3) When the person seeking accommodation is deemed likely to engage in conduct that violates laws and regulations, public order, or good morals in connection with the accommodation.
(4) When the person seeking accommodation is deemed to fall under any of the following categories:
a. Organized crime groups, members of organized crime groups, associate members, affiliated persons, or other antisocial forces.
b. Corporations or other organizations whose business activities are controlled by organized crime groups or their members.
c. Corporations whose officers include persons affiliated with organized crime groups.
(5) When the person seeking accommodation has engaged in speech or behavior that causes significant inconvenience to other guests.
(6) When the person seeking accommodation is a patient or carrier of a designated infectious disease (Class I, Class II, etc.).
(7) When violent demands are made in relation to accommodation, or when repeated requests constituting customer harassment as defined by the Enforcement Regulations of the Hotel Business Act are made, and such requests are likely to significantly impede the provision of services to other guests.
(8) When accommodation cannot be provided due to natural disasters, facility failures, or other unavoidable reasons.
(9) When accommodation is requested for children under junior high school age (0–12 years old) due to the architectural characteristics of the ryokan (such as skeleton staircases) and safety management reasons. (Facility-specific rule)
Article 5 (Explanation of Refusal to Conclude Accommodation Contract)
A person seeking accommodation may request an explanation from the ryokan when the ryokan refuses to conclude an accommodation contract pursuant to the preceding article.
Article 6 (Guest’s Right to Cancel the Contract)

Guests may cancel the accommodation contract by notifying the ryokan.

If the guest cancels all or part of the accommodation contract for reasons attributable to the guest, the following cancellation charges shall apply:
• General guests (up to 4 rooms): Cancellations made from 3 days prior to the arrival date to the day of arrival, and no-shows: 100% of the first night's accommodation fee.
• Group guests (5 rooms or more): 100% from 31 days prior to 3 days prior to the stay date, and 100% on the day before, the day of stay, and in case of no-show.
Article 7 (Ryokan’s Right to Cancel the Contract)

The ryokan may cancel the accommodation contract in the following cases:
(1) When the guest is deemed to fall under any of Article 4 items (3) through (7).
(2) When the guest fails to comply with prohibited matters specified in the usage rules of the ryokan, such as smoking in bed, tampering with firefighting equipment, or other prohibited acts. -
If the contract is cancelled pursuant to the preceding paragraph, charges for accommodation services not yet provided shall not be collected.
Article 8 (Accommodation Registration)

Guests shall register the following information at the front desk on the day of stay:
(1) Name, age, gender, address, and occupation
(2) For foreign nationals without an address in Japan, nationality and passport number (passport presentation and retention of a copy are required)
(3) Departure date and planned departure time
(4) Other matters deemed necessary by the ryokan
Article 9 (Guest Room Usage Hours)

Guests may use the guest room from 3:00 PM until 10:00 AM the following morning.

If arrival is expected after 10:00 PM, advance notice is required. If a guest arrives after 10:00 PM without prior notice, the reservation may be treated as cancelled.
Article 10 (Payment of Charges)

Payment of charges shall be made at check-in in cash or by credit card or other payment methods approved by the ryokan.

Even if the guest voluntarily chooses not to stay after beginning use of the guest room, the accommodation fee shall still be charged.
Article 11 (Compliance with Usage Rules)
Guests shall comply with the usage rules posted within the ryokan, including no-smoking policies and precautions regarding staircase use.
Article 12 (Custody of Baggage and Personal Belongings)

If a guest’s baggage arrives at the ryokan prior to their stay, the ryokan shall store it responsibly only when prior consent has been given by the ryokan.

If baggage or personal belongings are left behind after check-out and the owner is identified, the ryokan shall contact the owner and request instructions. However, if no instructions are given or the owner cannot be identified, the items shall be handled in accordance with the Lost Property Act.
